Practice Operations Lead
Position Description
INIVISION is looking for a Practice Operations Lead who will oversee the financial, human resources, and operational functions of the firm, acting as a strategic partner to leadership while ensuring smooth day-to-day operations across multiple offices.
Position Responsibilities
Finance & Accounting
Coordinate and respond to monthly finance review meetings with central accounting.
Lead monthly, internal quarterly, and annual partner and leadership team financial updates.
Prepare and analyze internal financial reports and dashboards for leadership
Manage budgeting, forecasting, and variance analysis reports from INVISION leadership to Central Finance.
Conduct financial due diligence for acquisitions, partnerships, or strategic initiatives
Assist with special projects such as leadership transition, operational efficiency studies, etc.
Manage INVISION Group LLC accounts and distributions.
Reporting & Analysis
Generate and distribute standard financial and operational reports.
Identify trends and provide insights to support strategic planning and performance management.
Participate in management committee meetings.
Human Resources & Benefits Administration
Be a local presence coordinating with central human resource staff on personnel issues.
Oversee HR functions, including onboarding, employee records, and compliance.
Lead the administrative organization of personnel records, recruiting, immigration and onboarding.
Be a local liaison to central human resources staff with employee benefits programs (health, retirement, leave, etc.) and liaise with employees.
Assist in policy development, employee handbook updates, and performance review processes.
Serve as a resource for HR-related inquiries and conflict resolution.
Participate in monthly human resource meetings.
Coordinate with internal People leader.
Office Management
Lead staff meeting agenda and updates to staff.
Track and push the development of ongoing special projects.
Management liaison for administrative duties.
Manage auto fleet and staff supplies.
Manage minimal deliveries.
Manage firm and individual leadership team license renewals.
Respond to property management needs.
Lead the administrative team
Guide contracts for mobile phones, credit cards, etc.
Position Qualifications
5 years experience in similar position
Ability to travel between offices
Bachelor’s Degree in Accounting or Finance
Proficient with Microsoft Office Suite
Strong communication and organization skills
Ability to manage multiple priorities and maintain confidentiality
